Privacy Policy
LAST UPDATED: October 2026
When you come to Architect GP, you often share things that matter: your home, your plans, your budget and how you live. We treat that information with care, and this policy explains plainly what we collect, why, who sees it and what control you have.
Architect GP is a small business. We may not be legally required to comply with the Privacy Act 1988, but we choose to follow the Australian Privacy Principles as our standard.
In this policy, "we" and "us" means Architect GP Australia. "Personal information" means information that identifies you or could reasonably identify you.
What personal information we collect
We collect only what we need to provide our services. Depending on how you use Architect GP, this may include:
Contact details: your name, email address, phone number and postal or billing address.
Property and project information: your property address, plans, photos and documents you share, and what you tell us about your home, household, goals, budget and timeframes.
Booking and payment records: the services you book, session dates, agreements you sign and payments you make. Card details are handled by our payment provider, Stripe. We never see or store your full card number.
Your messages to us: enquiries, contact form and quiz responses, emails and feedback.
Website usage information: how visitors move through our website, such as pages viewed and clicks, along with technical details like device, browser and approximate location.
If you tell us about other people, such as a partner or family member who lives with you, please only share what's relevant and let them know you've done so.
How we use your information
We use your personal information to:
respond to your enquiries and match you with the right service and architect
manage bookings, agreements, payments and reminders
prepare a brief so your architect understands your project before you meet
deliver the service you've booked and follow up afterwards
send newsletters or updates, but only if you've subscribed
understand how our website is used so we can improve it
meet our legal and professional obligations.
We don't sell your personal information, and we never will.
Who we share it with
Your Architect GP. When you book, we send your contact details and booking information to the architect in our network who will deliver your service. That's the only architect who receives your brief. Architects in our network agree in writing to keep your information confidential and to use it only to provide your service. Our architects are independent practitioners, so once your brief is with them, they handle it under their own policies, practices and professional obligations.
Service providers who help us run the business. We use a small number of trusted services:
Squarespace —> Our website, contact forms and website analytics
Acuity Scheduling —> Bookings and appointment reminders
Stripe —> Payment processing
Google (Gmail) —> Email
Anthropic (Claude) —> AI assistance with administrative tasks (see below)
These providers handle information under their own privacy terms. We choose them carefully, review their terms, and share only what each one needs to do its job.
When the law requires it. We may disclose information if required by law, such as a court order, or where necessary to protect someone's safety or our legal rights.
How we use artificial intelligence (AI)
We use AI for administrative tasks only. For example, when you book, we use AI to organise your booking form answers into a clear brief for your architect, keeping your own words. We may also use AI to help draft routine emails.
When we do this, the information you've given us is processed by our AI provider, Anthropic, under terms that do not allow it to be used to train AI models.
We do not use AI to think through your design, give professional advice, decide whether to accept a booking, set fees or assess you in any way. A person reviews everything AI helps prepare, and all advice and recommendations about your project come from a registered architect.
If you'd prefer we don't use AI tools with your information, email hello@architectgp.au and we'll prepare your brief by hand.
This section describes how Architect GP uses AI. The architects in our network make their own decisions about the tools they use. If you'd like to know whether your architect uses AI, please ask them directly.
Information stored or processed overseas
Several of the providers listed above are based overseas, so your information is likely to be stored or processed outside Australia, including in the United States and other countries where those providers operate.
Privacy laws in those countries may not offer the same protections as Australian law. We can't control how overseas laws apply, but we choose established providers with published privacy and security commitments, and we limit what we share with them.
How we store and protect it
Your information is held in the systems of the providers listed above, and in our own files, which are kept on secure storage at our office and backed up to a private server in Australia. We take reasonable steps to protect it from misuse, loss and unauthorised access, including password protection and limiting access to those who need it.
No system is completely secure. If a data breach is likely to cause you serious harm, we'll tell you promptly and explain what we're doing about it.
We keep personal information for 7 years after our last engagement with you, which reflects our professional record-keeping obligations. After that, we securely delete or de-identify it, unless we need to keep a record for legal or professional reasons.
Website analytics and cookies
Our website uses cookies through Squarespace. Cookies are small files your browser stores to make the site work and to help us see how visitors use it, such as which pages are viewed and what is clicked. We use this information in aggregated form to improve our website.
We don't currently use advertising cookies or tracking pixels. If that changes, we'll update this policy before we start.
You can block or delete cookies through your browser settings. Some parts of the website may not work as well if you do.
Newsletters and testimonials
We only send newsletters and updates if you've subscribed. Every email includes an unsubscribe link, and you can also email us to stop them.
We only publish a testimonial or project story with your permission, and we'll agree with you how you're named. You can ask us to remove it at any time. Copies may still exist on other sites that have saved it.
People under 18
Our services are for adults. We don't knowingly collect personal information from anyone under 18. If we learn that we have, we'll delete it. If you're a parent or guardian with concerns, please contact us.
If the business changes hands
If Architect GP is sold or merged, personal information may be transferred to the new owner under a confidentiality agreement. We'll let you know before this happens.
Accessing, correcting or deleting your information
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Email us and we'll respond within 2 business days. We may need to confirm your identity first. If there's a legal reason we must keep something, we'll tell you what and why.
Questions and complaints
If you have a question or concern about your privacy, please contact us first. We'll acknowledge it within 2 business days, look into it, and give you a response in writing.
If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au for information about your options.
Changes to this policy
We'll update this policy when our practices change, and show the date of the latest version at the top. If we make a significant change, we'll let current clients know.
